how to plan the perfect graduation party

It’s almost that time — commencement ceremonies will be taking place all across the world as the school year winds to a close. Whether your little loved one is graduating kindergarten, 8th grade, high school, college or beyond, this time is so special and heart-wrenching all at once! Here is a little step-by-step guide on how to plan the perfect grad party to soak in all those moments!

Set the Date and Time:

  • Determine the date and time for the graduation party. Late spring can be utterly chaotic with back-to-back events, so think about when works best for you and your loved ones to get together to celebrate! Will family be traveling in town for the actual commencement ceremony? Are you going to be competing with 8 trillion other grad parties for the same coveted Saturday night spot? Think through what works best for the guest of honor (and perhaps blends both VIP family members AND their sweet friends).

  1. Create a Budget:

    • Decide on a budget for the party. Think through expenses such as venue rental, decorations, food and beverages, entertainment, invitations, and any other costs.

  2. Choose a Venue:

    • Select a venue for the party. What will work best for you — your own home, a rented event space or neighborhood clubhouse, a park pavilion, or another suitable location that works for your guest list and budget?

  3. Guest List:

    • Create a guest list of family members, friends, teachers, coaches and any other important people the graduate would like to invite.

  4. Send Invitations:

    • Design and send out invitations well in advance, including all necessary details such as date, time, location, RSVP information, and any special instructions or themes. Many grad ceremonies only allow for limited guests, so make sure to designate who is invited to which event specifically.

  5. Book Your Balloons & Arrange for Other Decorations:

    • Choose a theme or color scheme for the party decorations and send us an inquiry to get your date on our calendar! Consider incorporating elements related to graduation, such as diplomas, caps, and gowns. Maybe you want to bring in your graduate’s school colors, or allude to the university they’re setting off for come fall!

  6. Food and Beverages:

    • Decide on the menu for the party. Consider whether you'll have a sit-down meal, buffet-style service, or finger foods and snacks. Plan to accommodate dietary restrictions and preferences of guests. Arrange for catering or plan to prepare food yourself (not for the faint of heart!).

  7. Entertainment and Activities:

    • Plan entertainment and activities to keep guests engaged and entertained throughout the party. This could include music, games, a photo booth, a DJ or live band, a slideshow or video presentation, and any other activities the graduate enjoys.

  8. Graduation Ceremony Recognition:

    • Incorporate a special moment during the party to recognize the graduate's achievements and celebrate their graduation. This could include speeches, presentations of awards or gifts, and a ceremonial turning of the tassel.

  9. Party Favors and Gifts:

    • While it’s definitely not a necessity, you can consider providing party favors for guests to take home as mementos of the celebration. Personalized items such as keychains, magnets, or photo frames are popular choices. Additionally, prepare any gifts or cards for the graduate.

  10. Finalize Details:

    • Confirm all arrangements including catering, entertainment, rentals, and any other services. Double-check the venue setup, and seating arrangements to ensure everything is in place for the party.

  11. Enjoy the Celebration:

    • On the day of the party, relax and enjoy celebrating this milestone achievement with the graduate and their guests. Take plenty of photos to capture memories of this special occasion!
